Independent Business Systems Adviser

Make your digital tools support the business instead of becoming the business

I look at how your CRM, project tools, collaboration platforms, finance systems and other SaaS products fit the real workflow, where they overlap and where they are creating manual work or confusion.

What a business systems review adds

Design the technology around the way the business works

A growing business rarely has a technology shortage. More often it has several useful tools that were added at different times and no longer fit together cleanly.

I look across the workflow and the tech stack together. The aim is to understand what each system is genuinely for, who owns it, how information moves between tools and where people are compensating with spreadsheets, duplicate entry or manual chasing.

This creates a practical basis for deciding what to keep, what to simplify, what could be integrated and what can potentially be cancelled before spending more money on another platform.

What the review can examine

System Purpose & Ownership

Clarify what each important system is meant to do, who relies on it and who should own its configuration, data quality and business use.

Workflow & Tool Fit

Check whether the tools support the actual workflow or whether the team has adapted the process around software limitations and inconsistent habits.

Data & Handoffs

Identify where information is re-keyed, copied, lost or interpreted differently as work moves between systems and teams.

Integration & Automation Opportunities

Identify sensible opportunities to connect systems or automate repetitive hand-offs only after the underlying process is clear.

SaaS Overlap & Cost

Find tools that duplicate capability, subscriptions that are no longer adding value and workarounds that are costing more in time than they save in licence fees.

Vendor & Dependency Clarity

Clarify what internal staff own, what vendors or MSPs own and where support or data dependencies could leave the business exposed.

Access, Knowledge & Consistency

Reduce reliance on one person knowing how a system works and identify where inconsistent configuration or user habits are undermining the process.

Change Readiness

Make sure ownership, process changes, data and training are ready before a new system, integration or rationalisation decision is implemented.

When a systems review is useful

Before you buy another tool, understand the problem the current tools are failing to solve

A review is particularly useful when software costs keep rising, teams use the same platforms differently, information is copied between systems, reporting is unreliable or another new tool is being proposed as the answer to a process problem.

Because I do not sell software or implementation work, the recommendation can remain technology-neutral: keep what works, simplify what does not and only add technology where it removes a clearly understood problem.

Typical outputs

A clear picture of what to keep, change or stop paying for

Depending on scope, outputs may include a current tech-stack map, system ownership view, workflow-to-tool map, duplicated capability findings, SaaS rationalisation opportunities, data and hand-off issues, integration priorities and a sequenced improvement roadmap.

The output is designed to support practical decisions: what should stay, what should change, what could be cancelled and where process should be fixed before technology is touched.
